The Challenge
The client operates a national franchised dealer network and runs a dealer incentive scheme that pays dealerships for qualifying trade-in transactions submitted through the network.
Trade-in vehicles are a significant and high-risk transaction category — one where inconsistencies, whether accidental or deliberate, can cost the business materially. The client faced a compounding set of challenges: claim documentation arrived dealer by dealer with no unified view, manual verification was too slow and labour-intensive to achieve meaningful coverage, and there was no reliable mechanism to test every claim consistently against the validation checklist across the network. The result was a verification process that was partial at best, leaving material risk unexamined within each financial period under review.
Why Conventional Methods Fell Short
The volume tells the story. Every qualifying claim submitted across the full dealership network for the period under review carried six to eight supporting documents — close to 15,000 documents in aggregate, all to be cross-referenced against the validation checklist within a defined financial window.
A purely manual approach was not a question of taking longer. The realistic manual option was sampling — reviewing a fraction of the population and accepting that anomalies in the unreviewed remainder would simply go undetected.
